We currently are looking to add a Senior Lease Administrator with Common Area Maintenance reconciliation experience to our dynamic team! * Analyze and review real estate documents, ground leases, memoranda of leases, ancillary lease documents, abstracts, and client correspondence.
* Interface with leasing, property management, construction, tenants, taxing municipalities, insurance companies, zoning authorities, local government, and others, in connection with obtaining all necessary information for commercial real estate lease transactions.
* Maintain and administer lease documents including leases, amendments, subleases, assignments, and ground leases.
* Assist in the management of all lease transaction information used in financial reporting of leasing statistics.
* Ability to abstract and administer a high volume of documents, ensuring all lease data is captured in the lease management database.
* Ability to comprehend, analyze, and interpret complex documents, such as leases, amendments, subleases, and ground leases.
* Maintains and updates lease activities in multiple system databases, reviews and updates existing leases and contracts.
* Monitors contract terms, such as delivery dates, termination dates, scheduled changes within agreements, specific notification periods, and ensure compliance with established contracts and leases.
* Ability to review, prepare, and edit Estoppel certificates and SNDAs.
Assist with dispositions and refinances.
* Analyze lease financial data to report to executive team and other departments.
* Maintains strong collaborative relationships with all departments to elevate the thinking and ideas applied to business transactions.
* Serve as daily facilitator of administrative and analytical requests for Property Managers, Accountants, A/R Associates, and Executive Associates, as well as tenants.
Answer high volume of lease inquiries for all parties.
* Billback tenants for utility usage, if not included within common area maintenance.
* Work closely with the leasing team to ensure documents are correct as well as processed in a timely manner.
* Performs annual operating expense reconciliations and budgets.
* Regularly audit & analyze account ledgers to resolve outstanding liabilities and disputes.
* Assist in collection efforts for reconciliation and budget escrow balances.
*Experience, Requirements and Core Competencies:* * Advanced level of proficiency in Microsoft Office Suite, MRI, Datex, filestar or similar.
* Ability to handle a fast paced, deadline driven environment.
* Ability to multi-task and prioritize assignments while delivering consistent, quality work product.
* Ability to calculate complex figures and conduct financial/business analysis including the preparation of reports.
* Ability to work under pressure with high volume of tasks.
* High level of attention to detail and accuracy.
* Ability to work with little supervision and to seek help when needed.
* Ability to build strong internal and external relationships.
* Strong analytical and communication skills.
* Ability to think independently while working within a group.
*Qualifications and Education Requirements :* * Bachelor’s degree or equivalent work experience, with a concentration in accounting / finance.
* Must have minimum three to five years’ commercial real estate experience.
