Description: DOMA Technologies is seeking a highly experienced Program Manager to lead a large-scale digitization and conversion program.
The ideal candidate will possess strong leadership skills and extensive expertise in managing complex projects in compliance with federal regulations, particularly those outlined by the National Archives and Records Administration (NARA).
The Program Manager will oversee all aspects of the digitization process, from receiving and controlling source materials to ensuring the quality and accuracy of converted electronic documents.
They will be responsible for managing staffing resources and coordinating operations within a production environment.
Requirements: Lead the end-to-end digitization and conversion program, including receiving, controlling, and converting source materials to standardized, indexed, and searchable PDF documents.
Incorporate quality assurance activities and validation into multiple steps of the conversion process to ensure the customer receives images and data of sufficient quality to support its business processes.
Manage staffing resources and provide surge support as needed to meet project demands.
Ensure compliance with NARA requirements regarding facility management and operations.
Oversee the storage, maintenance, and handling of all source materials, as well as any electronic processes supporting the conversion process.
Manage operations within a production environment, including overseeing machines and equipment used in the digitization process.
Coordinate and prioritize tasks to meet multiple deadlines simultaneously in fast-paced environments.
Ensure compliance with FADGI guidelines, common practices and standards outlined by FADGI in all aspects of the digitization program.
Provide regular updates and reports to senior management on project status, milestones, and any issues or risks encountered during the digitization process.
Interact with stakeholders to understand project requirements, address concerns, and ensure alignment with organizational goals and objectives.
Develop and maintain project budgets, tracking expenses, and ensuring efficient resource allocation to meet financial targets.
Implement program management best practices to ensure the successful execution of the digitization and conversion program, including risk management, issue resolution, and change control processes.
Foster a culture of continuous improvement within the program, identifying opportunities to streamline processes, enhance efficiency, and optimize performance.
Collaborate with cross-functional teams, including technology, operations, and quality assurance, to ensure seamless coordination and integration of activities throughout the project lifecycle Monitor and report on key performance indicators (KPIs) and metrics to track program progress, identify trends, and make data-driven decisions to drive program success.
Ensure compliance with all relevant regulatory requirements, standards, and policies governing the digitization and conversion process, including privacy, security, and data protection regulations.
Requirements: Education requirement: Bachelor’s Degree - information management, records management, business administration preferred Minimum of 8 years related experience 2 years of proven experience in leading and managing document management and digital conversion projects Strong program management skills with a track record of successful project delivery PMP Preferred Excellent communication and interpersonal skills to effectively engage stakeholders at all levels Demonstrated ability to analyze data, assess risks, and make data-driven decisions Experience in talent development and team leadership Work Environment/Physical Demands The work environment and physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
