The Office Administrator is considered the face of the organization and ensures that the office functions at a high level of productivity.
This person is tasked with managing the facility, assisting CAO with office activities and events, and delivering administrative support for internal staff, vendors, and customers.
Provides administrative support to staff and department managers.
Administers all aspects of VII educational course administration.
Administers all aspects necessary to fulfill the requirement of a CASLI test site.
Responsible for facility maintenance and security.
Responsible for company vehicle maintenance and upkeep.
Assist CAO in planning disaster and emergency procedures and in providing aid and reports in emergency events.
Assisting office remodeling and updating projects.
Organizes food and beverage, catering, special functions, and social events.
Manages incoming and outgoing mail.
Manages communication conducted through company general email box.
Manages conference room scheduling and company meeting calendar.
Filing various documents and maintaining databases.
Compiling reports, memos, faxes, and other documents for given projects.
Assisting with administrative onboarding and offboarding processes.
Assisting in developing and distributing internal communications.
Shipping and purchasing assistance.
Monitors, manages, and maintains company property, office equipment, and supply inventory.
Various employee engagement assistance to aid usual, special, and seasonal occasions such as office food shopping and setup, monthly birthday parties and subsequent tasks, coordinating outdoor and indoor activities, parties and engagements for both external and internal natures.
Responsible for kitchen maintenance and upkeep.
Responsible for managing coffee equipment, water server and other equipment/supply vendors.
Other duties and projects as requested by the Chief Administration Officer and/or Director of HR.
Qualifications Associate or bachelor’s degree in business, administration, or related field preferred.
Minimum 2 years’ experience handling administrative responsibilities or related field.
Specialized Skills High level of tech fluency including Microsoft Office Suite (Word, PowerPoint, and Excel).
Good operational knowledge of operating systems, PCs and software.
Highly organized multitasker with ability to problem solve.
Team player and willingness to learn and to grow with the company.
Excellent written and verbal communication skills.
Customer service oriented.
Must be available, on occasion, for afterhours facility maintenance and event duties.
Must be “physically able to perform” duties including infrequent lifting, up to 25 pounds, bending, reaching above shoulder level, climbing stairs, pulling, typing, prolonged standing or sitting.
