This position will perform a wide range of administrative and office support activities for a local, well established financial planner.
Candidate will show meticulous attention to detail and be able to multi-task in a fast-paced, client-focused environment.
Candidate needs to have the ability to free the advisor to focus primarily upon revenue-centric activities and oversee all service, clerical and administrative duties of the business.
This candidate also needs to be able to handle confidential information with discretion and comply with industry regulations and requirements.
\*\*Please note, a full background check is required by our broker/dealer’s compliance department *Main Job Tasks and Responsibilities* * Data entry – coordinating the paperwork and procedures for new and ongoing client account creation and maintenance * Office support – personally assisting the financial advisor but also periodically assisting administrative staff to other advisors in the office as part of the team * General clerical duties - including photocopying, scanning, indexing, faxing and mailing * Learning compliance regulations in financial planning and adhering to all requirements * Maintaining electronic and hard copy filing system * Handling requests for information and data from clients and financial advisor * Scheduling client appointments and preparing agendas/forms for appointments * Conducting client appointment reminder calls and check-in calls on follow up items * Assisting other planning assistants, paraplanners, associate financial advisors and advisors in the office *Other tasks/duties, as applicable* * Working with financial advisor to plan client appreciation events * Answering, screening, and transferring inbound phone calls for financial advisor * Receiving and directing visitors and clients for the financial advisor *Required education/competencies* * Professional and pleasant demeanor * Customer service oriented * Ability to prioritize and meet deadlines * Problem assessment and problem solving * A team player who is also able to work independently on projects * Experience in finance/banking a plus but not required * Proficient in Microsoft Office *Knowledge*- The candidate must have proficient knowledge in the following areas: * High level of accuracy in preparing and assimilating information * Microsoft Office specifically Excel *Skills*- The candidate must demonstrate the following skills: * Excellent interpersonal skills * Team building skills * Analytical and problem-solving skills * Decision making skills * Effective verbal and listening communications skills * Attention to detail and high level of accuracy * Effective organizational skills * IT skills including spreadsheet, word-processing and e-mail * Experience with CRM systems would be preferred * Time management skills *Personal Attributes*-The candidate must maintain strict confidentiality in performing their duties and must also: * Be honest and trustworthy * Be respectful, kind and considerate * Be confident * Possess cultural awareness and sensitivity * Be flexible * Demonstrate sound work ethic Job: Full Time Supplemental Pay: Bonus Pay Job Type: Full-time 8:30-5pm Securities offered through Registered Representatives of Cambridge Investment Research, Inc.
